Your Role

Gensler is looking for a uniquely-qualified individual with special skiils to perform the role of Global Call Coordinator. This individual will be charged with coordinating, scheduling, attending, documenting, transcribing, and then distributing meeting information from a regularly scheduled global conference call on a weekly, on-going basis.

What You Will Do

Create and maintain the Microsoft Outlook invite, with Go To Meeting software inclusion, for the recurring meeting, including the meeting access information and any subsequent updates from leadership
Serve as call administrator with on-the-spot problem solving, as needed, and in partnership with technology contacts in real-time troubleshooting mode
Transcribe meeting notes from the 2-2.5 hour call, organized and catalogued by office
Maintain email list for meeting notes distribution, including updates of additions and deletions to those on the list

Compile, organize and distribute meeting notes within 24 hours of the call ending

Your Qualifications

Possess superior attention to detail and demonstrated ability to meet strict deadlines.

Must be reliable, punctual and possess superb written and verbal communication skills.
Being a superb note-taker and transcriber is essential.
Maintaining utmost privacy and then safeguarding confidential information discussed during meetings is critical and paramount.

Naturally self-motivated, independent, organized with strong interpersonal skills and total attention to detail.

Willing and able to work part time: 16 hours per week (2 days) on Monday and Tuesday.
Command and proficiency of MS Office Suite products, Outlook and Word in particular, as well as Go-To-Meeting, is a strict requirement.

A minimum 3+ year’s experience/background as a Stenographer, Executive Event Planner/Coordinator or Administrative Assistant required.

Past experience at Gensler is preferred but not required.
